This page contains instructions for running the VOA pay offer ballot (R&C/VOAC/MB/025/2008 refers). The pay bulletin for members has been despatched to you. Please telephone R&C Group headquarters on 0207 801 2727 extension 2059 or email carmen@pcs.org.uk if it has not been received by Wednesday 10 September 2008.

Ballot Timetable

The ballot needs to be open between Monday 8 September, and 12 noon on Tuesday 30 September 2008. It should only be closed before noon if every member has voted.
Please check that the following have been enclosed with this briefing:
• pro-forma ballot paper (specimen)
please photocopy the required
number; one for each PCS member in your office
• two seals for the ballot box
• a ballot return addressed label

If you have not received any of the above please contact the R&C Group HQ as described above.

Facilities time has been agreed for office meetings to elect scrutineers and organise the ballot. Facilities have also been allowed to hold the ballot on official premises. Please confirm your arrangements with your group manager.

Important: Following the closure of your ballot and the count by the scrutineers in your office, you must now do two things:

1) Post ballot papers back to PCS HQ
Please ensure that ballot papers, & signed return form are returned immediately to R&C Group HQ (label provided). These must be received by noon on Monday, 6 October.

2) Contact your Branch Secretary
Please contact your branch secretary with your office result on the afternoon of Tuesday 30 September.

If you are going to be absent please ensure that someone else is available to undertake the tasks identified in this briefing

Request to Branch Secretaries

After the ballot closes, on Tuesday 30 September, would branch secretaries contact PCS HQ (using the contacts described earlier) to report their branch results

The formal result by the Returning Officer will be declared on Tuesday 7 October 2008, and you will be notified as soon as possible of the outcome. The result will also be posted on the R&C pages of the PCS website.

The VOA committee are very conscious that this is a very busy time of the year for you all. Along with everyone in the R&C group at PCS HQ they want to take this opportunity to thank you for your help throughout the year and especially in running this pay ballot.
