Boosting attendance at your AGM

A well-attended annual general meeting is a cornerstone of a healthy, democratic branch. It’s an opportunity for members to engage with their union, raise issues and contribute to shaping the future.

Strong attendance at an AGM doesn’t happen by accident. It requires careful planning and promotion to make the event both accessible and appealing.

1. Advertise effectively
Start promoting your AGM early. Use workplace noticeboards for posters, distribute flyers to desks, and advertise through social media. Where available, utilise internal systems to spread the word, and follow up with an email invitation. The more channels you use, the better your reach.

2. Make your materials stand out
Design posters and flyers that grab attention. Involve creative members who can help craft visually appealing materials. Eye-catching designs make a difference.

3. Consider multiple meetings
If your branch covers multiple sites, a rolling AGM over a week or two might be ideal. Host meetings at different locations and ensure tellers are available to aggregate votes.

4. Invite engaging speakers
Bring in a speaker who will attract members. This could be a PCS representative, an MP, a campaigner, or even a celebrity. High-profile speakers can boost interest and attendance.

5. Focus on relevant issues
Craft an agenda that resonates with members. Encourage motions on topics they care about and ensure the meeting addresses these directly.

6. Create a welcoming environment
Let members know they’re welcome to participate in any capacity. Use the AGM to inspire involvement.

7. Prioritise accessibility
Consider members’ needs, such as shift patterns, caring responsibilities, and disabilities. Ensure the time and venue are accessible to all.

With thoughtful planning and an inclusive approach, your AGM can become a vibrant, well-attended event that truly represents the voice of your branch members.

PCS is a union built on democracy. Members play a key role in how we operate. All our representatives, including branch reps, national officers, and the national executive committee (NEC), are chosen through fair and open elections. This ensures our leadership is accountable to our members and starts at your branch AGM.
